Troop 360 keeps a very simple record of all advancementc on Excel. When we
add a scout the the BSA advancement sheet, we enter a line on our records with
the scout's name, the merit badge or advancement, the date earned and a
tracking number that we write on the BSA advancement sheet - example 98-6
would be the 6th sheet submitted to the council office. We keep all of the
troop copies of the BSA advancement sheet in order by this number.
The entries on the troop Excel record are entered in the order received. When
it comes time to do a search for merit badges advancements earned, or if a
scout has turned 18 and we want to purge his records all we have to do is a
data sort by the appropriate column and we have the info needed. Several
times a year we give a copty of the scout's personal record to the scout for
him to verify.
By assigning a tracking number we are able to sort an Eagle applicants record
out of the stack, find the troop copy of the BSA advancement record and
provide the copies to council with the eagle application.
This makes it much easier on the council staff also.
