Our District Email Distribution List

Fellow members of Scouts-L I would like to tell you about a method that
we have been using in the Potomac District of the National Capital Area
Council to increase communication of what is happening.
It is called our "Weekly News Flash".
Each week an email is sent out to Scouts and Scouters in the District
telling them what is going on. A calendar of events is posted at the
beginning of each Flash. Some items that we have included in the body,
is information about
The District Pinewood Derby
OA - elections, ordeal, fellowship
The Nippon Jamboree
SMF/WB/U of Scouting
Roundtable Agendas (and location and date)
Registration for council camp (including what weeks are already full and
Merit Badge changes (i.e. Personal Management)
Recognition Dinners (OA, District, Religious)
Day Camp info.
New info on the Web site.
Obviously the list can go on and on.
We currently have over 125 Scouts and Scouts on our distribution
covering more than 75% of the Packs and almost 70% of the troops.
Since we have started, we have seen the roundtable room go to standing
room only, the most successful Klondike derby ever and the best
pre-registration for summer camp in years. Now we don't know if we can
attribute this to the "News Flash" but we are getting more and more
people interested in being on it and the feedback seems to always be
something like "it's great to know what is going on - thanks".
Well, I guess it is obvious that this is beneficial. Let me describe
how we got started and some pitfalls to avoid.
Our Roundtables were the start. We had people put their email addresses
down when they signed in. This was a key. We now had about 40 emails
to start with. In November we sent out our first update. As we proceed
please recognize that I am not computer illiterate nor am a computer wiz
so I just used the tools at hand.
The list grew quickly from word of mouth, and email about the
distribution. The only complaint was that the address list was too
long. You see I had created a personal group in my email which was fine
for me but gave everybody a lengthy address list when they read it.
To help this I created smaller distributions with 10 - 20 names on it.
In addition to this being a shorter address for people, it may it less
attractive to spamming as the list grows.
At first, I was writing up most of the information myself and sending it
out. Now I don't have to ask for input, I get it all the time, even to
the point that I hold some information back to keep the News Flash short
enough. I also have the Key 3 (plus the Vice Chair of Program) review
the update before it goes out.
To help fill in the blanks the DE and DC have been actively soliciting
those units that we don't currently reach electronically. Maybe we will
get 100% but even if we don't we have tremulously increased our District
Once the addresses were created, it is not hard to maintain if you get
the support that I am getting. I highly encourage all districts to
consider putting together something like this.
