The BSA council computer program has an "advancement/training"
subprogram. It has some advantages, and some disadvantages. If
it is available, you should consider using it.
1. Your records match the council's records.
2. It is self-cleaning and self-adding. I.e., when a person
initially registers, they show up in the system, and when a
person drops from registration, they disappear out of the system.
3. Theoretically, the council office should already be doing
this work (though many do not).
4. The system will not only print out lists of all training
completed, it will print out lists of every person who has not
completed certain training.
5. The system will print out all the training a single person
1. The system has no memory, i.e. if a person drops out of
Scouting for a short while, no record is kept of completed
training. You have to re-enter all data.
2. If a person is registered in more than one place, i.e. as DL
of a pack and SA of a troop, records will be split between the
two positions, and the names may show up two or more times,
either on COMPLETED or NOT COMPLETED lists.
The national office is working on the program now. Some of us
have communicated where we think it could be improved. I'm not
sure when the improvements can be expected.
If your council is not already using the program for record
keeping, it may be a political issue to start using it. We have
used it for about 10 years, and have found it effective, if not
In our council, we print out a list of everyone who has NOT
COMPLETED certain courses every month, and send them to the
District Training Chairman. This is our prospect list for our
training sessions. We print out complete lists of trained people
and people who have earned training awards about twice and once a
Our monthly NOT lists are: Cub Fast Start (5 varieties), Cub
Basic, Scout Fast Start, Scoutmaster Fundamentals, Explorer Fast
Start, Explorer Basic. This set could be adapted to the needs of
any particular council.
