Coming from one who was severely skeptical when we converted three years
ago, here is a wholehearted endorsement for uniform charter renewal dates.
Ours is January, but other districts in the council (actually the five
councils of Greater NY) have different dates to even out the work flow in
Registration Services. There are even some districts who still have not
adopted uniform rechartering.
Like others here, we have instituted a "Recharter Night" when all of the
units are supposed to bring down their essentially completed paperwork and
complete the process. We have also found that most of the units take care
of the charters on that night and it is easy to track down most of those
that don't show up.
We also have each of the program committees and the OA set up tables at the
recharter night to distribute information and discuss upcoming program.
For example, at that time the troop can schedule both a Unit Election
and/or a Camp Promotion with the Chapter. Also, this give us (the program
group) access to many of the units that don't regularly attend Roundtable.
>From the standpoint of my position as District Advancement Chairman I have
found that it is much easier to get field sheets. (I get a copy of all of
the field sheets and, for the troops, post each rank advancement on the
field sheet so I can keep track of which scouts are coming close to needing
my assistance on the trail to Eagle.) In the past, with varying charter
renewal dates, I was always chasing the DE to get the field sheets for one
or another of the units. This year, when I reassumed the position (that
doesn't sound right, :-) ) I just asked the DE and got a full set and
don't have to worry about it until next Feb/Mar after the next renewal.
That also concentrates my job of figuring out who has dropped, etc. to
refresh my records, but it is actually easier to do it all at once, rather
than 12 times a year.
We have actually seem much faster turn around on the charters since we
adopted this approach and that is really nice to see.
