Once our calendar is set up, I send a letter saying we need people
to sign up NOW and COMMIT NOW for future events.
I detail what the event is, the type of equipment and what they should
expect. (example: The Feb campout tends to be a cold winter campout
requiring cold weather gear... Mar is a cabin trip for those
that like to sleep in bunks...)
I got 75% signup rate.
The problem we found was that if we asked 4 weeks before a trip, we
got a "Don't know whats on the calendar". By letting them sign up
EARLY, we can convert that to "Thank you for signing up"
We now have 4-6 adults available for most campouts because they keep
their calendar clear FOR US instead of US competing for previously
