Back in Area 5 of Ohio we have (use to have one anyway) an Annual ACE
Conference (area conference for Explorer). We would attract about 200 or
so explorers (which rivals the size of the national conference). It was
held at a hotel (last one in 95 was at Salt Fork State Park) Since our
area was so big, location was a big deal. Although Salt Fork was in a
huge state park (30 min drive from the main gate of the park to the
hotel), it was centrally located for most of the district (altough the
farthest drive was about 4 hours)
Our event was organized under the theme of "Wide World of Exploring"
trying to offer everything exploring had to offer. FOr the high adventure
types we had rapelling and other stuff along those lines. We had COPE for
everyone. An internet connection (which was still very very new in spring
'95) for the computer types. What we found was most people were
interested in things outside of their cluster (which was how things were
put together). It got law enforcement explorers with computer people.
Computer people doing high adventure type events, and high adventure
people doing medical, etc. On Saturday evening there was a dance after a
dinner. It was sort of like a 3 day National Exploring Conference in that
the conferences primary goal was to elect an area rep. Sunday people left
and Friday was a check in day. There was a pizza party by the pool and
people were free to mingle on Friday.
It was really well ran thanks to people like Rich Schlegelmilch, also on
this group (email@example.com) Our post helped out with a few things of
organizing the event, but Rich's computer skills in conjunction with some
very motivated Exploring Exec (no offense to some, but most were not to on
the ball or willing to spread the info to the posts). I think that
everyone who came had a good time. Our post (esp. Rich) still has most of
the info that it took to organize the event. The hotel was willing to
work with us the whole way so the entire weekend cost less than $70 for
the entire weekend (inc. all meals, events, and hotel rooms which normally
were more than $110 or so a night).
If anyone is interested in an event like this feel free to get in contact
with me. All of the packet is in word and excell. The art work for
everything was done in corel, and we have an access database to handle all
of the registrations. The weekend went smooth, and the hotel was very
pleased with our courtesy, organization, and crowd control. Most
important thing is after action reporting. Write down what doesn't work,
feel free to try new ideas, but don't reinvent the wheel.

-right now I work PA for the Freezoree at the Academy. Look for info on
it, because it will be regional/national next year (hopefully) and draw
about 5000 people. This year we brought in 3k.
